Determine what format your 1099 data is currently in, and if it can be exported to Excel spreadsheet format.
If you cannot provide
electronic data and wish for 1099 Services to key your data for you, skip ahead to "Once the data is converted" below.
If your data
cannot be exported to Excel format, can it be exported to tab, comma delimited, or csv format ? If so, then it can be imported
into Excel with little trouble. If not, can it be exported to standard text file ? If so, contact 1099 Services for possible
data conversion to Excel format.
Download the Excel templates from the Downloads page to use to export your data into. Unused
columns can be left in the Excel templates. It is crucial to our conversion process that the column names be left
intact.
Use the Data Guidelines and IRS Publication 1220 as a guide to formatting your data in the Excel spreadsheet. Keep
in mind that the templates include all possible money fields for that form type - you only fill in the money columns for which you
are reporting data, leave the rest blank.
Do not let the Data Guidelines overwhelm you - they are just guidelines! The more
you follow them the less time 1099 Services has to spend editing your data, which will save you money. However, many edits
can be made more quickly by us than you, due to automated techniques we have developed. Please contact us for details
about your specific data issues.
Download the Encrypt 1099 program from the Downloads page, install it and use it to create
encrypted files to send to 1099 Services. This is a very secure method of data delivery.
There are only three methods
of data delivery that 1099 Services can accept:
Encrypted data file(s) from Encrypt 1099. See email address for encrypted
data at the bottom of this page.
Magnetic media shipped to us.
Via fax at (512) 857-0568. This would only be feasible for a
small number of transactions, but can be used for this purpose
You will receive an email within 24 hours acknowledging that we received
your data. 1099 Services will be in communication with you about any issues encountered during data conversion from Excel format
into IRS format. If you do not receive such notification, you should assume we did not receive your data, and please contact
us.
Once the data is converted, your recipient copies will be printed and mailed prior to January 31, provided the data was delivered
to 1099 Services with sufficient lead time.
After recipient copies are mailed, you may forward corrections any time. Prior to the electronic
filing deadline at the end of March, corrections will be billed at a flat rate per correction, NOT subject to any minimum. After
electronic filing, corrections will be subject to the standard minimum (see the Fees page).
After recipient copies are mailed, invoices
will be mailed for both the recipient copies and applicable electronic filing fees. A hardcopy report, or softcopy in PDF
format, will be delivered with the invoice. 1099 Services can also deliver an Excel export of your IRS data, if so desired.
